The short version: tell us as early as you can, and where you are inside the deadline stated in your booking confirmation you get your fee back in full. Because our registration fees are being confirmed event by event, the exact deadlines and amounts for your booking are stated on the event page and in your confirmation email rather than guessed at here.
01The principles behind these rules
Refund policies in education are often written to be technically accurate and practically impenetrable. We have tried to do the opposite: say what applies, say where the exact figures live, and explain why deadlines exist at all.
The reasoning is straightforward. In-person events commit real money at fixed points before the date: venue, equipment, consumables and the people teaching. Cancellation terms tighten as those commitments are made, and we would rather tell you that plainly than bury it.
Nothing in this policy removes statutory consumer rights available where you live. If your local law gives you more than this policy does, your local law applies.
02Where the exact terms for your event live
MediEdify Global was founded in 2026 and our registration fees are being confirmed event by event. Because the cancellation windows depend on the fee and on the commitments a specific venue requires, the binding terms for each event are set out in two places.
- On the event page, once the registration fee for that event has been published.
- In your booking confirmation email, which states the fee paid, the cancellation deadlines that apply to your booking and the contracting entity for that event.
If those terms are ever unclear, or differ from what you understood when you registered, tell us. We will resolve it in your favour rather than argue the wording.
03Conferences
Cancelling your place
- Tell us as early as you can, by email or through the contact form, quoting your booking reference.
- Where you cancel before the deadline stated in your booking confirmation, any fee paid is refunded in full.
- Where you cancel after that deadline, the amount refundable reduces, because venue, catering and equipment numbers are committed by that point. Your confirmation states the amounts.
- Non-attendance without notice is not refundable, because your place and your workshop allocation were held for you.
Transferring instead of cancelling
A place can normally be transferred to a colleague at no cost, provided you tell us before the delegate list is finalised and the replacement delegate is eligible for the same delegate category. This is usually a better outcome for everyone than a cancellation.
Visa refusal
Where you applied for a visa in good time, using an invitation letter we issued, and can show the refusal, we will refund your fee less any cost we have already irrecoverably incurred, itemised for you.
If you cannot attend and you are outside the refund window, tell us anyway. Where we can fill your place we will refund you even where this policy does not require it.
04Workshops
Hands-on workshops are capped by the equipment and supervision each session needs, so an unused place cannot simply be resold at the last minute.
- Workshop places booked as part of a conference registration follow the conference terms above.
- For a standalone workshop, the cancellation deadlines are stated on the workshop booking and in your confirmation email.
- Where you tell us in advance that you cannot attend an allocated workshop, we will offer your place to another delegate and, where we succeed, refund or reallocate it for you.
- Where a workshop is rescheduled by us, you may move to the new date or take a full refund.
05If we cancel or reschedule
- You receive a full refund of any fee paid, or a transfer to the rescheduled date if you prefer.
- Where you have incurred non-refundable travel or accommodation costs, contact us and we will look at what we can reasonably do, case by case, rather than applying a blanket rule.
- Where only part of a programme is affected, we will tell you exactly what has changed and let you decide whether to proceed.
- Cancelling an event is a last resort, and where it happens we will tell delegates as early as we possibly can.
06Courses and membership
MediEdify Global does not currently sell online courses and does not currently offer a membership, so no refund terms apply to either. If we introduce them, this policy will be updated with their terms before anything is sold, and the date of that change will be shown at the top of this page.
07How to request a refund or transfer
- Email info@mediedifyglobal.com from the address you registered with, or use the contact form and mention your booking reference.
- Tell us the booking, the date, and whether you want a refund or a transfer. You do not need to justify a request inside the standard window.
- We acknowledge every request as quickly as we can, and process approved refunds to the original payment method.
- Where an employer, university or society paid, the refund returns to them rather than to you, and we copy you on the confirmation.
If you think a decision is wrong, say so and ask for it to be reviewed. A second person looks at it, and we will explain the outcome in writing either way.
